The policy in four points

A device with every hire

Each employee comes with a standard MacBook Air, included in your monthly service fee.

Upgrade before day one

Choose a MacBook Pro tier for a small monthly add-on — selected before the start date.

Changes after deployment

Upgrades requested after the standard device ships are billed as full-price replacements.

Truss owns the hardware

Truss eliminates the need to purchase, ship, and recover devices in the regions we support.

Section 1

Purpose

As part of Truss’s managed employment services, each employee is provided with a device to perform their role effectively. A standard device is included in Truss’s monthly service fee. Clients may elect to provide upgraded hardware when business needs require additional performance.

This policy outlines hardware selection, upgrade pricing, ownership, and replacement procedures.

Section 2

Standard Equipment

The Truss monthly service fee includes one standard device for each employee. Unless otherwise agreed, the standard device is:

MacBook Air (13-inch)
Current or recent generation
Included

The standard device is suitable for the majority of business, administrative, customer support, recruiting, project management, and most general technical roles.

Section 3

Hardware Selection

To ensure timely procurement and avoid unnecessary replacement costs, clients will select the desired hardware before the employee’s start date.

Available options
Standard MacBook Air (included)
MacBook Pro
MacBook Pro (Higher RAM/SSD)

Any premium hardware selection will be reflected in the client’s monthly invoice beginning on the employee’s start date.

Section 4

Hardware Subscription Fee

Clients who select hardware above Truss’s standard offering prior to the employee’s start date will pay an additional monthly Hardware Subscription Fee.

The monthly fee covers
Incremental hardware cost
Procurement
Asset management
Lifecycle management and replacement

The Hardware Subscription Fee continues for the duration of the employee’s engagement.

Section 5

Hardware Refresh Cycle

Truss refreshes employee devices on a four-year cycle. As part of lifecycle management, Truss will replace an employee’s device approximately every four years for the duration of their engagement.

What the refresh includes
No additional cost to the client — scheduled refreshes are covered by the monthly service fee and, where applicable, the Hardware Subscription Fee.
The replacement device matches the hardware tier the client currently subscribes to.
Replacement devices are current or recent generation and may include certified refurbished equipment.
The employee’s prior device must be returned to Truss.

Refresh timing may vary based on device condition, performance needs, and availability. Requests to move to a different hardware tier outside the refresh cycle are handled under Mid-Engagement Hardware Changes.

Section 6

Mid-Engagement Hardware Changes

If a client requests upgraded hardware after Truss has already procured and deployed the standard device, the request will be treated as a replacement rather than an upgrade.

In these cases
The client is responsible for the full cost of the replacement device.
Payment is due prior to procurement.
The previously issued device must be returned to Truss before the replacement device is shipped, unless otherwise approved by Truss.

This policy exists because Truss has already fulfilled its obligation to provide the standard device included in the monthly service.

Section 7

Equipment Ownership

All equipment supplied by Truss remains the exclusive property of Truss, regardless of any Hardware Subscription Fees or replacement device payments made by the client.

Clients are purchasing access to upgraded hardware as part of Truss’s managed equipment program and are not purchasing ownership of the equipment.

Section 8

Offboarding

Upon termination of employment or the conclusion of the client engagement:

All equipment must be returned to Truss.
Truss will coordinate equipment recovery.
Any monthly Hardware Subscription Fee will end upon the employee’s offboarding.
Payments made toward replacement devices are non-refundable.
